Microsoft Teams has had meeting recaps, including transcript generation, for some time. Intelligent Recap in Teams Premium takes this a step further through its AI capabilities. After a meeting is recorded, Intelligent Recap identifies spoken names and the main topics covered.

The technology suggests “chapters” to organize and summarize meetings, even suggesting action items based on the discussion. This information, along with data about in-meeting events like screen sharing, is available to all participants within minutes of the meeting’s conclusion. This speed and efficiency offer a significant improvement over traditional methods.

Intelligent Recap provides visual cues for both participants and those who couldn’t attend, streamlining reference of key moments. Some indicators are visible to everyone, while others are personalized to individuals.
Personalized timeline markers bookmark moments like when a participant joined or left and when their name was mentioned. These make it easier to catch up on missed portions. Other participants can also be assured that the person will get up to speed quickly. Intelligent Recap also eliminates the time wasted waiting for late colleagues.
“There’s no need to wait around anymore before we start a meeting,” says Chanda Jensen, a senior product manager in Microsoft Digital, responsible for rolling out new Teams meeting features within Microsoft. “Since we have Intelligent Recap, those who’ve joined late or need to leave early in a meeting can easily watch anything that they’ve missed before or after using the personalized join and leave markers.”
Another marker highlights any time a participant’s name is mentioned, complete with a brief transcript snippet to provide context. These markers help participants quickly focus on sections of the meeting relevant to them.

Using at-mention markers enables you to pinpoint any mentions of your name. All participants can view the speaker bar, a visual representation of each speaker’s contributions. This reduces time wasted scrolling through the transcript or recording.
“Let’s say I’m very interested in something one particular colleague had to say,” Jensen explains. “I can easily click on their speaker bar, and the recording will jump exactly to that point.”
AI-Powered Note-Taking and Summary
Intelligent Recap’s auto-generated topics, chapters, notes, and action items greatly benefit machine learning within Microsoft Teams Premium. The feature identifies and summarizes recorded meeting sections. Shortly after the meeting ends, a bar of AI-generated topics appears below the meeting video, synchronized to that portion of the recording.
“This feature automatically captures the topics that were brought up during the meeting, and divides them into color-coded segments,” Jensen states. “So, if you were only interested in a specific topic that was discussed, you can easily skip to that, and the recording will go to that section.”
An “AI Notes” tab is populated with “Meeting Notes” and “Follow-up Tasks” to improve note-taking and meeting follow-up, especially for busy participants and asynchronous teams.
“It gives you a basis for your notes and tasks, rather than having to create everything from scratch,” Jensen adds. “It’s almost like sending your personal note-taker right to these meetings.”
Impact on Employees and Hybrid Work
The response to Intelligent Recap has been highly positive within Microsoft.
“This is one of the most impactful features I have seen introduced with hybrid work,” says Tyler Russell, a senior engineering architect on the Azure Databases SQL Customer Success Engineering team. “This functionality improves my productivity significantly, and I have started recording more meetings because of it.”
Intelligent Recap is particularly beneficial for those involved in long meetings or with scheduling conflicts.
“I was recently involved in a half-day, extensive leadership meeting,” shares Mike Friday, senior director on the Global Customer Experience—Strategic Programs Team. “Having the Intelligent Recap feature enabled me to quickly catch up with my team through AI-generated notes.”

Intelligent Recap’s features enhance the efficiency of asynchronous work. Meetings traditionally require a specific time, which can be challenging for asynchronous work, especially where employees are located in different time zones or have various personal circumstances. Intelligent Recap’s AI-driven tools allow teams to maintain momentum without losing collaborative value from team members.
“A lot of my colleagues overseas constantly have to catch up on the Redmond time zone work content,” Jensen says. “Now that AI is capturing the dialogue in these meetings, it’s so much easier for them. They can quickly read the AI-generated summary to see if there’s anything that needs their attention, and if they are mentioned, they can rapidly review that specific part of the recording.”
Intelligent Recap supports more diversity and inclusivity across geographic locations and other factors impacting same-time availability. Microsoft plans to continue expanding the feature’s capabilities and providing multilingual support.
